Who we are

Deadline Desk is the trading name of a UK sole trader business operating from Staffordshire, England, and is the data controller for the information described here. Full operator details and an address for service appear on all invoices and engagement paperwork, and are available on request. For anything in this policy, contact hello@deadlinedesk.co.uk.

What we collect, and why

• Enquiry details (name, work email, organisation, deadline, what you need): when you use our forms or email us. Used to respond, scope and quote. Lawful basis: taking steps towards a contract.
• Documents you send us: used only for the work you have asked for. Lawful basis: contract. Please only send what the work needs.
• Payment confirmation: payments are processed by Stripe. We never see or store your card details.
• Business contact details (role-based or published work emails): used for one-to-one business outreach. Lawful basis: legitimate interests. Every outreach message includes a clear way to say no, and a no is honoured immediately and permanently.

We do not sell data, share it for marketing, build profiles, or run advertising or analytics trackers on this site.

Documents and security

Client documents come in through a secure upload over an encrypted connection to a restricted area. Access is limited to Deadline Desk for the purpose of the work requested. We ask only for the information the job actually needs.

How long we keep things

• Client files: deleted 90 days after the job completes, unless needed for the work record or you ask us to keep them.
• Enquiries that do not become work: deleted within 12 months.
• Invoices and accounting records: kept 6 years, as UK tax law requires.
• Outreach records: a simple log of who we contacted and who said no, kept so we never contact someone who opted out.

Who helps us run things

Trusted providers process some data on our behalf: website hosting and forms (Netlify), payments (Stripe), email and document storage (Microsoft). Where any provider stores data outside the UK, recognised safeguards such as adequacy decisions or international data transfer agreements apply.

When your documents contain other people's data

If materials you send contain personal data about others (for example client lists or staff records), we act as your processor: we process it only on your instructions, only for the work, keep it confidential and secure, and delete it on completion as above. A signed data processing agreement is available on request.

Your rights

You can ask for a copy of your data, ask us to correct it, delete it, restrict it, or object to our use of it, and you can take your data elsewhere. Email hello@deadlinedesk.co.uk and we will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This site sets no advertising or analytics cookies. Any cookies are strictly necessary ones set by our hosting platform to serve the site.

Changes

If this policy changes, the new version appears here with a new date.
